How to Set the Template for New Customers

Typically, administrators create customer records within OnTime Management Suite. Administrators will ensure that proper pricing, notifications, and other important details are assigned correctly and in accordance with company policy. However, if users of OnTime Dispatch or visitors to the OnTime Customer Web Portal are allowed to create customer records, it cannot be guaranteed that they would choose proper pricing, notifications, and other important details. A Template Customer solves this problem.
The Template Customer is a customer record that has been set up in advance to serve as a model for new customer records created within OnTime Dispatch and the OnTime Customer Web Portal.
The Template Customer allows an administrator to configure a customer record with proper pricing, notifications, and other important details in advance. Then, when users of OnTime Dispatch or visitors to the OnTime Customer Web Portal create a new customer record, the pricing, notifications, and other important details from the Template Customer will be merged with the new customer record. This has the added benefit of speeding up the process of creating new customer records as only the customer’s contact information needs to be entered.

Create a Record to Serve As the Template Customer

Start by creating a standard customer record within OnTime Management Suite. Contact information, such as name, email, phone, and address, are not important as they will be overwritten when merged with the new customer record. Pay careful attention to all other details as they will be merged with the new customer record. Choose price sets and notifications that are appropriate for any of your customers. Finally, save the new customer record.

Assign the Template Customer

Once the customer record is saved, set it as the Template Customer by following these steps:
  1. Open OnTime Management Suite.
  2. Select the Customers view from the left.
  3. Click the link labeled Set Template Customer from the Tasks section, along the left side.
  4. A drop-down list containing all customer records will appear. Select from this list the customer record created above that will serve as the Template Customer.
  5. Click OK to save.
